Job Description Job Description We have partnered with a well-established law firm that is actively seeking a Legal Intake Specialist to join their team as soon as possible. This role is critical to the firm's success and serves as the first point of contact for prospective clients, making professionalism, empathy, and attention to detail essential. About the Role - The Legal Intake Specialist plays a key role in evaluating potential matters, gathering accurate client information, and ensuring a smooth and professional onboarding experience. This position requires strong communication skills, sound judgment, and the ability to manage sensitive information with discretion. Key Responsibilities Serve as the initial point of contact for prospective clients via phone, email, and online inquiries Conduct thorough intake conversations to gather facts, documentation, and background details Evaluate potential cases based on firm guidelines and route qualified matters to attorneys Enter and maintain accurate client data within the firm's case management system Schedule attorney consultations and follow up with prospective clients as needed Communicate clearly and compassionately, especially in sensitive or time-critical situations Maintain confidentiality and adhere to all legal and ethical standards Collaborate closely with attorneys and support staff to ensure seamless case transitions Qualifications Prior experience in a legal intake, legal assistant, or client-facing role preferred Strong verbal and written communication skills Highly organized with excellent attention to detail Ability to manage multiple tasks in a fast-paced environment Professional demeanor with a strong customer-service mindset Comfortable handling confidential and sensitive information Proficiency with legal case management systems and standard office tools Preferred Experience Background in real estate, landlord tenant law, habitability, or civil litigation intake Bilingual abilities, Spanish strongly preferred Familiarity with intake or CRM platforms such as Clio, Filevine, or Smokeball Work Environment Full-time, in-office position Collaborative and client-focused law firm environment This firm is motivated to hire quickly and is looking for someone who can step in, make an immediate impact, and grow with the team.
