Learn more about the great things happening with MAAC at Under supervision, performs budget analysis and requisition coding for the Child Development Program. Assists with fiscal operations for the program. Performs technical and moderately complex accounting work for assigned local, state and federally funded programs, including setting up and reconciling general ledger accounts; verifies fund availability; verifies charges are made to appropriate program accounts; independently identifies discrepancies and collaborates with program managers to resolve problems. ESSENTIAL DUTIES AND RESPONSIBILITIESThe duties listed below are intended only as illustrations of the various types of work that may be performed.   • Ensures encumbrances and expenses are accurate and in full compliance with all applicable fiscal and program contractual requirements; tracks and monitors all charges made to designated program funds; prepares funding source requisitions; reviews, researches and works with other fiscal staff to liquidate outstanding encumbrances throughout the program year
  • Works with staff to resolve technical accounting and reporting issues and problems; analyzes cost data and assists in performing special studies, analyses and projects as required by funding sources
  • Assists staff in conducting queries and generating special financial and accounting reports; designs and creates financial reports
  • Performs account reconciliation and researches any discrepancies; assists with the preparation of monthly expense reports for the program; attends monthly meetings as required; prepares materials for monthly meetings for staff, Policy Committee and Board of Directors; follows up on questions regarding expense reports and other related inquiries
  • Reviews supporting documentation on purchase requisitions, travel per diems, mileage expenses and/or expense reports to ensure accurate dollar amounts are submitted to the fiscal department
  • Assists with purchase card expenditure processing; prepares, maintains and monitors journal entries, transactions, and expenditures for the program; prepares monthly invoices as required by funding source; calculates expenses according to the cost allocation plan; maintains subsidiary ledgers as required
  • Communicates with staff, vendors and contractors as required; types letters, creates and responds to email correspondence, completes forms and other related documents; maintains records and statistical compilations
  • Operates a variety of office equipment, such as duplicating machines, calculators, electric typewriters and computers
  • Performs other related duties as assigned Qualifications and Skills Knowledge of:
    • Principles and practices of general, fund and governmental accounting including financial statement preparation and methods of financial and internal controls and financial reporting; laws, regulations, rules, policies and procedures applicable to areas of responsibility
    • Principles and practices of cost accounting; accounting standards and requirements applicable to nonprofit operations and funding sources; laws and regulations relating to the financial administration of nonprofit agencies; business data processing particularly related to the processing of accounting and financial information
    • Operations and requirements of the nonprofit automated general ledger system; the uses of Microsoft spreadsheets and other standard business software; records management; general office systems and procedures
    • Practices, documents and terminology used in processing accounting transactions and in financial recordkeeping; basic accounting and control policies and procedures; practices and procedures for interpreting data; standard office practices and procedures Ability to:
      • Use Microsoft applications and accounting software systems (i.e. Word, Excel, Outlook, PowerPoint, Abila etc.) and advanced functions of spreadsheets and other standard financial and business software; operate a computer, calculator and other standard office equipment
      • Perform highly responsible and complex accounting, budget and finance activities related to fund apportionment, revenue limits and local, state and federal programs; make calculations and tabulations and review fiscal and related documents accurately and rapidly understand and apply internal fiscal controls in the performance of work assignments; analyze and make sound recommendations on complex financial data and operations; interpret, apply and reach sound decisions in accordance with rules, regulations and department procedures
      • Exercise independent judgement within general policy guidelines
      • Establish and maintain effective working relationships with all levels of management, employees, funding source representatives and other individuals encountered in the course of work
      • Organize, set priorities, take initiative and exercise independent judgment within areas of responsibility; perform duties that require high attention to detail and application of rules and specific procedural requirements
      • Prepare clear and accurate financial records and reports; communicate clearly and effectively, both orally and in writing Understand and follow written and oral instructions
      • Maintain confidentiality of agency documents and records. Education/Experience/Certification
        • Two (2) years of proven related accounting work experience/knowledge; AND
        • Associate of Arts degree in accounting, finance or a related field AND
        • Demonstrated experience with Microsoft applications and accounting software systems (i.e. Word, Excel, Outlook, PowerPoint, Abila etc.) and advanced functions of spreadsheets and other standard financial and business software; operate 10 key by touch.
